3. Applying for a voter authority certificate

3.1 Your personal data will be held by the Electoral Registration Officer of, Civic Offices, Harlington Way, FLEET, GU51 4AE as Data Controller. Registration number: Z6770403. Data will be processed on the Electoral Registration Office Portal (EROP) when applying for a Voter Authority Certificate (VAC).

3.2 We may keep the following information about electors applying for a VAC for 28 days. The information we may hold is as follows: i. Basic details about you, for example, name, address and date of birth. ii. Unique identifiers (such as your NI number and a photograph). iii. Scanned application forms, personal documents provided to us by you as evidence and dates of relevant correspondence. iv. Details and records about the service you have received. v. Your email address and telephone number for use by the Electoral Registration Officer only (optional).

3.3 The lawful basis for holding this information is the performance of a public task and as a statutory requirement.

3.4 The law in question is Regulation 26 of the Representation of the People Regulations 2001, section 9 of the 1983 Representation of the People Act 1983 and the Elections Act 2022.

3.5 To verify your identity, the data you provide will be processed by the Department for Levelling Up, Housing and Communities and sub-processors the Cabinet Office, Amazon Web Services and HH Global. HH Global will print and post the VAC and after 28 days will destroy any data held.
